What is the Workday Planner?
The Workday Planner is a browser-based time-block scheduling tool that helps you intentionally design your workday before it begins. Instead of reacting to whatever email or Slack message arrives first, time-blocking lets you allocate hours to your highest-priority work in advance โ protecting deep work time from calendar creep and reactive tasks.
The concept was popularized by Georgetown professor Cal Newport in his book Deep Work. His research shows that elite performers in every field โ from chess grandmasters to celebrated novelists โ achieve mastery not through longer working hours but through the proportion of their time spent in deep, focused, cognitively demanding work.
The Four Work Categories
Our planner uses four task categories aligned with productivity research:
- Deep Work โ Cognitively demanding tasks requiring full concentration: writing, coding, analysis, strategy
- Shallow Work โ Low-effort tasks: email, scheduling, data entry, routine admin
- Meetings โ Synchronous collaboration that requires your presence
- Breaks โ Intentional recovery time that sustains performance
The ideal knowledge worker day includes 3โ6 hours of deep work, 1โ2 hours of shallow work, and the rest in meetings and breaks. Our visualization shows how your planned day compares to this benchmark.
