What is the Workday Planner?
The Workday Planner is a browser-based time-block scheduling tool that helps you intentionally design your workday before it begins. Instead of reacting to whatever email or Slack message arrives first, time-blocking lets you allocate hours to your highest-priority work in advance — protecting deep work time from calendar creep and reactive tasks.
The concept was popularized by Georgetown professor Cal Newport in his book Deep Work. His research shows that elite performers in every field — from chess grandmasters to celebrated novelists — achieve mastery not through longer working hours but through the proportion of their time spent in deep, focused, cognitively demanding work.
The Four Work Categories
Our planner uses four task categories aligned with productivity research:
- Deep Work — Cognitively demanding tasks requiring full concentration: writing, coding, analysis, strategy
- Shallow Work — Low-effort tasks: email, scheduling, data entry, routine admin
- Meetings — Synchronous collaboration that requires your presence
- Breaks — Intentional recovery time that sustains performance
The ideal knowledge worker day includes 3–6 hours of deep work, 1–2 hours of shallow work, and the rest in meetings and breaks. Our visualization shows how your planned day compares to this benchmark.
Why Planning Beats Reacting
Studies on workplace productivity consistently show that people who plan their day spend significantly more time on high-value activities than those who work reactively. The act of planning itself — even 10 minutes in the morning — increases focus, reduces decision fatigue, and creates a sense of accomplishment as items are checked off.
How Does the Workday Planner Work?
1. Set your work start and end time — Define the boundaries of your workday.
2. Allocate time by category — Enter hours for Deep Work, Shallow Work, Meetings, and Breaks.
3. See your time allocation — View a visual breakdown showing your productivity mix.
4. Check benchmarks — Compare your planned day against optimal productivity ratios.
5. Copy or export — Get a text summary of your schedule to paste into your task manager or notes.
Formula & Calculation Method
Total Available Work Time:
Available Hours = End Time - Start Time
Category Allocation:
Deep Work % = Deep Work Hours / Total Hours × 100
Shallow Work % = Shallow Work Hours / Total Hours × 100
Meeting % = Meeting Hours / Total Hours × 100
Break % = Break Hours / Total Hours × 100
Productivity Score (simplified):
Score = (Deep Work Hours × 1.0 + Shallow Work Hours × 0.4) / Total Hours × 100
Benchmark (Cal Newport model):
Target: 40–60% deep work, 15–25% shallow, 10–20% meetings, 15–20% breaks
Example Calculation
Example: 8-hour workday (9am–5pm)
Planned blocks:
- Deep Work: 4 hours (50%)
- Shallow Work: 1 hour (12.5%)
- Meetings: 2 hours (25%)
- Breaks: 1 hour (12.5%)
Allocation Score:
- Deep Work 50%: Excellent
- Shallow Work 12.5%: Good
- Meetings 25%: Slightly high but manageable
- Breaks 12.5%: Adequate
Productivity Score: 65/100 — Very productive day!
Recommendation: If possible, reduce meetings to 1–1.5 hrs and redirect time to deep work for a score of 70+.
